Step 1 — Check your welcome email. Wilson James sends your ESS email address and a pre-set temporary password when you are onboarded. Your email follows the format [email protected] where the numbers are your Employee Reference Number (ERN).

The Diary is the feature you will use most often. It displays every shift that your site manager has loaded into Timegate.
Site managers are required to roster shifts a minimum of 4 weeks ahead at all times. If you log in and see fewer than 4 weeks of shifts, contact your manager directly.
Clicking on any shift shows the full site information including address, start and end times, and rate of pay.
The diary also shows holidays you have taken, training days, and any recorded absence — giving you a complete picture of your working week at a glance.
The Work Search feature allows you to find and request open shifts outside your normal roster. This is one of the most underused features among new employees.
How to use Work Search effectively:
Enter your preferred start and end dates. Include a generous time window so the search captures shifts starting in the evening and ending the next morning. The distance filter calculates travel from your home address on file.
Results appear as shift cards. To request a shift, tap the circle in the top-right corner of the card and press REQUEST. You will receive a confirmation message in your Messages inbox almost immediately.

Set your availability at least one month ahead. Enter the exact times you are free — for example, 19:00 to 07:00 if you are happy with night shifts. Remember to span across midnight correctly: a shift starting 19:00 and ending 07:00 crosses into the next day.
Once submitted, your calendar shows a Duty Available marker. Managers searching for cover will see you as an option and may allocate a shift directly. Check your emails regularly because shift allocations can land at any time.

Your holiday entitlement is displayed at the top of the Holiday section and is broken into three columns: Taken, Approved, and Remaining.
To submit a holiday request:
